Assists the Facility Manager in the day-to-day maintenance of the office space, ensuring that the office is maintained by in-house staff, outside vendors and building maintenance, and that any problems are rectified in the quickest, most economical manner
Acts as liaison with building management for any building maintenance. Assists with receiving and dispatching of work requests to technical staff, vendors, or other service providers. Utilizes the building engines ticketing system, oversees work and ensures completion
Provide facilities helpdesk services and monitor internal/external workflow for all facilities cases to ensure consistent quality of service and work product
Assists with measuring and reporting key performance indicators against service level agreements
Coordinates the inspection and maintenance of the fire protection and equipment on fire suppression systems to ensure proper operations at each facility
Surveys office space daily for furniture damage, non-working appliances, burned out lights, etc.
Duties will include; troubleshooting, preventative maintenance, regular inspections, and minor repairs to the facilities such as; flooring, minor plumbing, drywall, painting, minor door, and hardware all to assist with the smooth operations of the overall facility
Monitors performance of the company’s various outside vendors. Brings any problems to the Facility Manager’s attention. Will identify equipment in need of replacement and preventative maintenance work on a proactive basis, to ensure uninterrupted service. Recommends changes to procedures or services, when necessary
Ensures that vendor Certificates of Insurance (COI) are filed with the building and are up to date
Assists the Facility Manager by coordinating arrival and installation of furniture. Reviews and processes invoices for Facility Managers approval.
Assists the Facility Manager in managing the office seating space for all employees including; implementing all moves (additions and changes), updating seating charts in Visio and ensuring offices and cubicles for new employees have been set-up and furnished appropriately. Welcomes new employees to the company, helps them get settled-in, and may follow-up on any additional needs they may have.
Conducts temporary office builds, furniture system set-up, and removal to support office moves and re-design
Assists Facility Manager with tactical planning of facilities team goals and objectives
Perform facility site inspections at various locations
Participates in the company’s emergency response plan and ensure evacuation plans and building operating plans (BOP) are in place for each facility. Supports coordination of emergency contact lists, preparation for emergencies, and creates action plans
Provides support to the procurement team with RFP’s, bid information, or any other documents or information to support procurement efforts and act as a liaison to security, finance, and other support services
Covers receptionist desk, answers and transfers calls, and acts as an interface with visitors, guests, and vendors.
Receives, sorts, and distributes daily mail and deliveries, process FedEx and UPS outgoing shipments
Provides support for meetings and conference room reservations and set up as needed and directed. Arrange food orders as requested including set-up and clean up as appropriate
Maintains multiple breakrooms by stocking coffee, utensils, cups, plates, and paper products
Restocks and replenishes paper in all copy rooms as needed
Maintains office supply inventory and submits orders for restock or as needed through Staples; ensures the supply room is full, neat, and organized at all times
Seeks to continuously improve processes, systems, and overall business practices
Provides process and procedures training and direction to new associates
