SOSi is seeking an Air & Navy Team Administrative Manager in support of the Security Assistance Mentors and Advisors program at the U.S. Embassy in Baghdad. The Air & Navy Team Administrative Manager responsibility is to ensure all administrative, personnel management, travel, and budget requirements are completed for all Air & Navy Team personnel.

Responsibilities

  • Coordinate activities with the U.S. government customer, U.S. Embassy-Baghdad, the GoI, and other staff, as necessary.
  • Serve as the subject matter expert for personnel daily reports.
  • Responsible to keep all foreign military sales correspondence letterhead accurate and up to date.
  • Responsible to ensure all foreign military sales correspondence is correct, error-free and signed by appropriate team members.
  • Prepare documents for expedited delivery or special mail handling, supply orders, and purchase requests.
  • Review office procedures and recommends changes to improve the efficiency and effectiveness of office operations.
  • Create and maintains calendars for the office and schedules appointments, meetings, and other activities.
  • Receive visitors and provides distinguished visitor coordination, support, and protocol.
  • Establish and maintain liaison with counterparts in other Office of Security Cooperation-Iraq organizational elements to include the Commanders Initiative Group, Joint Staff, and functional team leaders to exchange information on Administrative and office management support matters.
  • Serve as the subject matter expert air and ground movements.
  • Provide travel support to Team members to include itinerary planning, procurement of lodging and travel reservations, and support filing travel vouchers in the Defense Travel System (DTS).
  • In coordination with embassy Regional Security Officers, coordinate and plan travel of Air & Navy Team personnel within the International Zone and the Red Zone.
  • Serve as the senior subject matter expert of document management.
  • Serve as CATTS database manager, custodian, and instructor. Solely responsible to enter new foreign military sales documentation/correspondence into CATTS.
  • Advise team members and case managers of receipt and input of new foreign military sales documentation/correspondence.
  • Organize and maintain all Administrative, subject, country, and miscellaneous paper and online files as directed by Team Director and case managers.
  • Perform other duties as assigned.

Qualifications

  • Active in Scope Secret security clearance.
  • High School diploma or equivalent.
  • Four to six years previous executive administrative support.
  • Minimum Interagency Language Roundtable (ILR) Level III (Fluent speaking/reading/writing) of English and Arabic required. Each candidate will be required to complete an exam to obtain current ILR certification.
  • On the job training will be required for CATTS, but applicants must be proficient in operating a personal computer and experienced in the use of Microsoft Office software (including, at a minimum, Outlook, Word, Excel, and PowerPoint) as well as familiar with SharePoint and Microsoft Access.
  • Excellent written and oral communications skills.
  • Must be able to complete MOD 15 medical screening.

Preferred Qualifications

  • Bachelor’s Degree.
  • Previous executive administrative support and previous experience supporting military organizations is highly desired.
  • Previous foreign military sales support experience is desired.

Working Conditions

  • Standard office work environment.
  • Standard work hours Sunday - Thursday.
  • May require some travel within the International Zone.
