SOS International LLC (SOSi) is seeking an Executive Assistant to join our Operations team at our headquarters in Reston, VA. The Executive Assistant is responsible for coordinating and managing a variety of day-to-day administrative requirements for several Business Unit (BU) including but not limited to: executive calendars, correspondence, presentations, protocol, filing systems, and special events. The ideal candidate is comfortable working in a fast-paced office environment.


  • Schedules, organizes and de-conflicts in-person, telephone and video conference meetings.
  • Coordinates and supports office visits (e.g., receives visitors, provides driving directions, takes coats, offers refreshments, etc.).
  • Synchronizes and manages work and personal calendars, based on individual preferences, and provides reminders of scheduled meetings and events.
  • Configures and manages executive MS Office suite of applications (e.g. Outlook, Teams, SharePoint, etc.)
  • Reviews and responds to emails, based on .
  • Writes, transcribes and proofreads memos and letters for internal and external distribution.
  • Prepares, sends and follows up on electronic questionnaires and event invitations.
  • Tracks and reports important dates and events, such as birthdays, unique religious holidays, and significant employee life events (e.g., birth of new children, professional and academic accomplishments, etc.).
  • Helps to plan and execute corporate and business unit events, such as holiday gatherings, and educational and informational seminars; manages office and conference room appearances as appropriate.
  • Researches, compiles and analyzes data for reports and special projects.
  • Creates and edits presentations, spreadsheets, and projects utilizing the full MS Office suite of applications.
  • Assists executives with purchase requisitioning and expense reimbursements.
  • Creates and manages electronic and paper filing systems based on individual preferences.
  • Researches and introduces basic tools and methods to enhance workplace operations, integration and communications.
  • Sets and manages standards for and helps to train other executive and administrative assistants throughout the Company.
  • Performs work and personal errands, as necessary.
  • Orders and manages catering in support of leadership meetings and other special events.
  • Provides support to other Company executives and performs other administrative duties, as required.


  • Bachelor’s Degree from an accredited U.S. college or university; may be substituted in lieu of education.
  • Demonstrated professional administrative support experience; preferably at the Executive level.
  • Advanced demonstrated Microsoft Office skills to include Word, Excel, PowerPoint, Project, Teams, Share Point and Outlook.
  • Ability to type at least 50 words per minute.
  • Demonstrated ability to learn and master other specialized software applications.
  • Excellent demonstrated writing and speaking skills.
  • Excellent demonstrated organizational, project management and problem-solving skills.
  • Excellent demonstrated interpersonal skills.
  • Excellent demonstrated critical thinking skills.
  • Demonstrated ability to exercise discretion in the handling of sensitive business and personal matters.

Preferred Qualifications

  • Demonstrated knowledge and experience in the U.S. Government Contracting industry.
  • Demonstrated experience with Deltek CostPoint purchasing and T&E systems.
  • Five or more years of administrative support experience in the government contracting space; preferably support at the executive level.
  • Ability to obtain and maintain a U.S. government security clearance.

Working Conditions

  • Work primarily from the office with limited remote working as allowed or necessary.Around-the-clock availability and occasional non-traditional work hours including nights, weekends and holidays, as needed.
  • Occasional physical exertion, including lifting and/or moving objects or packages weighing up to 25 lbs.
